1Who we are
Citi Events Productions ("Citi Events Productions," "we," "us," or "our") is a photography and cinematography studio located at 204 Jericho Turnpike, Floral Park, NY 11001, serving clients across New York, New Jersey, Pennsylvania, Connecticut, Maryland and Virginia.
This Privacy Policy applies to www.citieventsproductions.com, our social media pages, and the services we provide — enquiries, bookings, sessions, event coverage and delivery of photos and films. By using our website or services, you agree to this policy. If you don't agree, please don't use the website or share information with us.
2Information we collect
Information you give us
- Contact details — name, email address, phone number and mailing address.
- Event details — event type, date, venue, timeline, guest count, family or couple names, and ceremony details you share so we can plan coverage.
- Messages you send through our contact form, email, phone, WhatsApp or social media.
- Booking and billing details — your package, invoices and payment status. Card payments are handled by our payment processors; we do not store full card numbers on our systems.
- Reviews and testimonials you choose to give us.
Photos and video
When we cover your session or event, we capture images and footage of you, your family and your guests. We treat these as personal information and handle them as described in this policy and in our Terms & Conditions.
Information collected automatically
When you visit our website, our hosting server and analytics tools may record your IP address, browser and device type, pages viewed, time on site, and the website that referred you. Some of this is collected using cookies — see Section 5.
3How we use your information
- Reply to enquiries and prepare quotes.
- Book, plan and deliver your session or event coverage, galleries, films, albums and prints.
- Send confirmations, reminders, invoices and delivery links.
- Process payments and keep business and tax records.
- Improve our website and services, and understand how visitors find us.
- Send occasional updates or offers — only if you've agreed. You can unsubscribe at any time.
- Protect our clients, business and website from fraud or misuse, and meet our legal obligations.
4Your photos in our portfolio and marketing
With the permission given in your booking, we may use selected images and film clips on our website, on our social media (Instagram, Facebook, YouTube, TikTok and Pinterest), in printed samples, and in award or publication submissions.
- We don't publish your full name, testimonial or other personal details alongside images without your permission.
- For sessions and events involving anyone under 18 — including Sweet 16s, birthdays, cake smash, newborn and family shoots — we share images publicly only with a parent or guardian's permission.
- We don't publish images that show anyone in a state of undress, including during getting-ready coverage.
Opting out
You can opt out at any time by telling us in writing, before or after your event. If images have already been shared, we'll remove them from our website and the social media accounts we control within 30 days. We can't recall printed materials that have already been distributed, or content that others have re-shared.
5Cookies and analytics
Cookies are small text files stored on your device. We use:
- Essential cookies that make the website and contact form work securely.
- Analytics tools, such as Google services, to understand website traffic in aggregate.
- Embedded content — YouTube videos, Instagram posts, Google Maps and WhatsApp links — which may set cookies from those providers when you interact with them, under their own privacy policies.
You can block or delete cookies in your browser settings, though some parts of the website may not work as expected. You can opt out of Google Analytics on all websites using Google's opt-out browser add-on.
6How we share information
We do not sell your personal information, and we don't share it with third parties for their own marketing. We share it only with:
- Service providers who help us run the business — website hosting, email, cloud storage, online gallery delivery, payment processing, print labs and album makers. They may use your information only to provide their service to us.
- Our team, including associate photographers, cinematographers and editors working on your project, who are bound by confidentiality.
- Your event vendors, such as your planner or venue, when you ask us to or it's needed to coordinate your coverage.
- Authorities or others when required by law, or to protect our rights, safety or property.
- A buyer or successor if our business is sold or restructured, who must continue to protect your information under this policy.
7How long we keep information
- Enquiries that don't become bookings — up to 2 years.
- Booking, invoice and payment records — as long as needed for tax and legal purposes, generally up to 7 years.
- Delivered photos and films — an archive copy for 12 months after delivery, as described in our Terms & Conditions. Portfolio images are kept while they're in use, unless you opt out.
After these periods, we delete information or keep it only in a form that no longer identifies you.
8How we protect information
We use reasonable administrative, technical and physical safeguards, including password-protected accounts, encrypted (HTTPS) connections on our website, limited access for team members, and backups of your images. No method of storage or transmission is completely secure, so we can't guarantee absolute security.
If a data breach affects your personal information, we'll notify you as required by law, including New York's data breach notification law.
9Your choices and rights
You can ask us to:
- Tell you what personal information we hold about you and give you a copy.
- Correct information that's inaccurate or incomplete.
- Delete your information, unless we need to keep it for legal, tax or contractual reasons.
- Stop sending you marketing messages.
- Stop using your images in our portfolio or marketing (see Section 4).
Residents of some states, including Connecticut, Virginia and Maryland, may have additional rights under state privacy laws. We honor the requests above for every client, whether or not a specific law applies.
To make a request, email or call us using the details in Section 13. We may need to verify your identity first, and we'll respond within 45 days.
10Children's privacy
Our website isn't directed at children under 13, and we don't knowingly collect personal information online from children under 13. Sessions and events involving minors are booked by a parent or guardian, who provides the information we need. If you believe a child has sent us personal information, contact us and we'll delete it.
11Other websites and platforms
Our website links to other websites and platforms, such as social media, WhatsApp and Google Maps. We're not responsible for their privacy practices, so please review their policies before sharing information with them.
12Changes to this policy
We may update this policy from time to time. We'll post the updated version on this page with a new effective date, and let current clients know by email if the changes are significant.
