The short version
- Your date is reserved once your booking agreement is signed and your retainer is paid.

- We keep the copyright. You get a personal-use licence and print release for your images.
- If your signed booking agreement says something different, the agreement applies.
1About these terms
These Terms & Conditions ("Terms") apply to your use of www.citieventsproductions.com and to the photography, cinematography and related services provided by Citi Events Productions ("we," "us," or "our"), 204 Jericho Turnpike, Floral Park, NY 11001. "You" means the person who books or uses our services, and any website visitor.
Your booking agreement — the contract, proposal or invoice you accept — sets out your package, price, date and any special terms. These Terms form part of that agreement. If the two conflict, your booking agreement controls.
2Using our website
- All photos, videos, text, logos and design on this website belong to us or our clients and are protected by copyright. You may view them for personal use, but you may not copy, download, reproduce or reuse them without our written permission.
- Don't misuse the website — no hacking, overloading, scraping, or using it for anything unlawful.
- We keep information on the website as accurate as we can, but packages, availability and prices can change and are confirmed only in your quote or booking agreement.
- The website is provided "as is," without warranties of any kind, to the extent permitted by law.

3Enquiries and quotes
Quotes are valid for 30 days unless stated otherwise. A quote, call or message doesn't reserve your date. Prices are in US dollars and don't include sales tax, travel or add-ons unless the quote says so.
4Booking and retainer
Your date is confirmed only when we've received both your signed booking agreement (or written acceptance) and the retainer shown on your invoice. Until then, the date stays open to other clients.
Because we turn away other work once your date is reserved, the retainer is non-refundable, except where we cancel (see Section 7). It's credited toward your total package price.
You can add to your package — extra hours, a second photographer, films, albums — in writing, subject to availability, at our current rates.
5Payments and fees
- Balance — due no later than 7 days before your session or event, unless your booking agreement sets a different schedule.
- Payment methods — as listed on your invoice. Card payments are processed securely by third-party payment processors.
- Late payment — we may pause planning and hold delivery of photos and films until your balance is paid. A balance more than 14 days overdue may be treated as a cancellation.
- Overtime — coverage you request beyond your booked hours is billed at the hourly rate in your agreement and is due within 7 days.
- Travel — coverage outside the New York City metro area may include a travel fee. Out-of-state events may also include tolls, parking, flights and accommodation. We quote these in advance.
- Chargebacks — if a payment is reversed without valid cause, you remain responsible for the amount and any fees charged to us.
6Cancelling or rescheduling
Cancellations
Please cancel in writing — email is fine. The amount you owe depends on how much notice you give:

Rescheduling
We'll move your date once at no charge if you ask at least 30 days in advance, the new date is within 12 months, and we're available. Your payments move to the new date. Further changes, or changes with less notice, may carry a rebooking fee or be treated as a cancellation.
Weather and outdoor sessions
If weather makes an outdoor portrait, engagement or pre-wedding session unsafe or unworkable, we'll reschedule with you at no charge. Wedding and event coverage goes ahead rain or shine.
7If we have to cancel
If your assigned photographer or cinematographer can't attend because of illness, injury, emergency or circumstances beyond our control, we'll send another experienced professional from our team. If we can't provide a replacement, we'll refund everything you've paid for the affected service, including the retainer. This refund is the full extent of our responsibility for the cancellation.
8Your responsibilities
- Share an accurate timeline, venue details, key contacts, and any must-have shots or family groupings before the event.
- Get any permissions needed from your venue, and cover any location, permit or venue fees for photo or video coverage. Some New York City parks and public locations require permits for professional shoots.
- Make sure our team has safe access and space to work, and, for coverage longer than 6 hours, a meal and short break.
- Ask guests not to block our view with phones or cameras during key moments.
- Understand that late starts, schedule changes and venue restrictions can reduce coverage time. We'll do our best, but we're not responsible for moments missed as a result.
- Drone coverage depends on FAA rules, airspace restrictions (much of the New York area is near controlled airport airspace), weather and venue approval. If flying isn't permitted or safe on the day, we'll provide ground coverage instead and refund or credit any separate drone fee.
Our team may pause or end coverage if they face harassment, abuse or unsafe conditions. Fees remain payable in that case.
9Style, editing and deliverables
- You're booking us for our style. We select and edit the final images and footage using our professional judgement; we don't deliver every frame we capture.
- Standard editing covers light, color balance, clarity and sharpness. Advanced retouching — skin, body or object removal — is available as an add-on.
- Session packages include the number of edited images listed in your package. Image counts for weddings and events are estimates that depend on the day.
- We don't provide RAW files or unedited footage.
- Films are edited in our style, including music selection. Platforms such as Instagram or YouTube may mute or restrict music when you post, which is outside our control.
- Films include one round of revision requests if sent within 14 days of delivery. Further changes are billed at our current rates.
10Delivery and storage
- Portrait and session galleries — within 5 business days of your session, often sooner.
- Weddings, multi-day events and films — within the timeline in your booking agreement. Peak wedding season can extend this; we'll keep you updated.
- We deliver through a private online gallery or download link. Please download your files promptly and keep copies in at least two places.
- We keep an archive copy for 12 months after delivery. After that, files may be deleted and we can't guarantee we'll be able to restore them.
11Copyright and how you can use your images
Under U.S. copyright law, we own the copyright to all photos and footage we create. Your package gives you a licence to use them — not ownership of the copyright.
What you can do
Your personal-use licence and print release lets you print your images, share them on your personal social media, and create albums, gifts and keepsakes, with no further permission needed. A credit to @citieventsproductions is always appreciated.
What needs our written permission
- Selling or licensing images to anyone else.
- Using images in advertising or commercial promotion.
- Submitting images to contests, magazines or other publications.
- Heavily editing images or adding filters and presenting the result as our work.
Vendors — planners, decorators, makeup artists, venues — who want to use images should contact us for permission and credit. Corporate, product, branding and other commercial clients receive the usage rights set out in their booking agreement.
12Portfolio and promotional use
Unless you opt out, you permit us to use selected images and footage from your session or event on our website and social media, in printed samples, and in award or publication submissions. We share images of anyone under 18 publicly only with a parent or guardian's permission.
You can opt out in writing at any time, before or after your event. Details are in Section 4 of our Privacy Policy.
13Albums, prints and products
- We send album designs for your approval, and production starts only after you approve in writing. We're not responsible for errors in a design you've approved.
- Printed colors can vary slightly from how images look on your screen.
- Albums and prints are made by professional third-party labs. Production and shipping times are estimates. If an item arrives damaged, we'll help you arrange a replacement.
14Limitation of liability
We use professional equipment, carry backup gear and back up your files. In the unlikely event that images or footage are lost, damaged or not captured because of equipment failure, corrupted media, accident or circumstances beyond our control, our total liability is limited to a refund of the amount you paid for the affected service.
To the maximum extent permitted by law, we're not liable for indirect, incidental or consequential damages. We're also not responsible for images missed because of the event timeline, venue rules, guest interference, lighting restrictions, weather or your instructions.
Events beyond our control
We're not responsible for delays or failure to perform caused by events beyond our reasonable control, such as severe weather, natural disasters, public health orders, fire, flood, power failures, travel disruption or government action. We'll work with you to reschedule; if that isn't possible, we'll refund payments for services not yet provided.
15Governing law and disputes
These Terms are governed by the laws of the State of New York. If a problem comes up, please contact us first — we'll work with you in good faith for at least 30 days to resolve it. If we can't, disputes will be handled by the state courts located in Nassau County, New York, or the federal courts for the Eastern District of New York.
16General
- These Terms and your booking agreement are the entire agreement between us about your booking.
- If any part of these Terms is found unenforceable, the rest stays in effect.
- If we don't enforce a term right away, we haven't waived it.
- We may update these Terms from time to time. Bookings are governed by the Terms in effect on the date you booked; the current version applies to website use and new bookings.
